What is expansion revenue?

Expansion revenue is the additional recurring revenue you earn from existing customers when they upgrade, add seats or volume, or buy another product. It leaves out revenue from new customers. Teams usually track it each month as expansion MRR, beside the revenue lost to downgrades and cancellations, to see whether the existing customer base is growing or shrinking on its own.

The short answer

Key takeaways

  • Expansion revenue comes only from customers you already had at the start of the period.
  • Upsells and cross-sells both count; one-off fees do not.
  • Track it beside contraction and churn, never on its own.
  • Tag expansion deals separately from new business, or the two blur together in reports.

What counts as expansion revenue

Expansion revenue counts any increase in recurring revenue from an existing customer. Agree the edge cases in writing, because each team that reports it should count the same way.

  • Counts: an upgrade to a higher plan.
  • Counts: added seats, users or locations.
  • Counts: a larger recurring usage allowance.
  • Counts: a second product sold to the same customer.
  • Usually excluded: one-off setup, training or consulting fees.
  • Decide and state: list price increases, and customers who left and later returned.

What is expansion MRR

Expansion MRR is expansion revenue measured as monthly recurring revenue: the increase in monthly subscription value from existing customers during one month. It is one of four movements that explain how MRR changed.

Net new MRR is new customer MRR plus expansion MRR, minus contraction MRR from downgrades and churned MRR from cancellations. Reading the four together shows whether growth comes from winning customers, growing them or merely replacing the ones that leave.

What does land and expand mean

Land and expand is a strategy that starts with a small first sale and plans for account expansion afterwards. The first deal, often one team or one use, is kept small so the customer can say yes quickly.

It only works if the product proves itself in that first team and the seller has a path to the next one. Without that plan, landing small just means a small customer.

How do you track expansion revenue

Track expansion revenue from the billing system, which knows what each customer pays, and label the cause of each change. The CRM then holds the expansion deals themselves, so the account team can see what is in progress.

Mark every deal as new business or expansion when it is created, not at the end of the quarter. Note the reason too, such as seats, upgrade or a new product, so the team learns which kind of growth is most common.

Clear answers

Common questions

Is expansion revenue the same as upsell revenue?

Upsell revenue is part of it. Expansion revenue also includes cross-sells, added seats and higher usage from existing customers.

Do price increases count as expansion revenue?

Teams differ. Some count them, others report them separately because the customer bought nothing new. Pick one rule and state it beside the number.

Why does expansion revenue matter for a subscription business?

It shows whether existing customers find more value over time. Growth from current customers usually needs less sales effort than winning new ones.
